Equipping a business with monitors: what to check

Buying ten monitors is not decided like a personal purchase: you have to think about fleet consistency, warranty, VAT, replacement and lifespan. Here are the points to settle before ordering.

Five points before ordering

  • The warranty and its scope. 24 months in the European Union, 12 months outside the EU, with after-sales service provided in Europe. The defective-pixel threshold used is that of the ISO 9241-307 Class I standard. The detailed terms are on the warranty.
  • The tax and customs regime. Deliveries within the European Union are DDP: duties and taxes paid, and the price shown is the price you pay. It is a point that changes a budget on a multiple order.
  • Availability over time. For a fleet, the real question is not the price but the ability to buy the same model again in six months for a new arrival. A buffer stock is kept in Europe; for a large order, ask for confirmation before standardising on one product.
  • The stand, or its absence. The monitors come with their VESA adapter and their cables; the stand is ordered in a pack or separately. If your offices are already fitted with arms, you save that many unnecessary stands.
  • The box contents. USB-C, DisplayPort and HDMI cables, two USB-C to USB-A adapters, a remote control, a VESA adapter. That is a set of accessories you will not have to order separately for each workstation.

Standardise, or not

Standardising on a single product simplifies everything: the same cables, the same settings, the same parts, and interchangeable workstations. It is the right instinct for the bulk of the fleet.

Two exceptions are defensible: the creative workstations, which justify a more accurate and higher-resolution panel, and the meeting or reception monitors, where format and finish answer other constraints. Our guides on estate agencies and reception areas detail those cases.

The calculation over time

A well-chosen desk monitor lasts eight to ten years, against four to five for a computer. Across a fleet, that means half the hardware investment survives two machine replacement cycles — provided you have chosen a resolution and an ergonomics that will go the distance. It is the strongest argument for not going too low down the range on the panel.
